What to Agree On Before Hiring an Appointment-Setting Team

What to agree on before hiring an appointment-setting team: qualification, availability, handoff, and a clear process from the first call.

4 minute read · Bulk Leads Now

What makes an appointment worth your salesperson’s time? Answer that before discussing volume. Your answer should guide the market, qualification questions, scheduling rules, and information passed to the closer.

Telecentric is the appointment-setting arm of Bulk Leads Now, with a physical, in-office call center serving solar and other industries. Contact Jesse to discuss how it works, availability, and pricing. The checklist below helps make that first conversation useful.

Define a qualified appointment together

“Interested” can mean several things. One person may want a price. Another may be collecting information for next year. Decide what the setter needs to establish and what the salesperson will handle later.

Write down your service area, the customer type, the problem your offer solves, and the reasons an appointment would not fit. For a homeowner campaign, that might include whether the person owns the property and whether it falls within your operating area. Choose criteria relevant to your offer rather than adding questions nobody uses.

Keep the calendar honest

A clear slot on one calendar may conflict with an appointment on another. Decide which calendars represent the salesperson’s actual commitments, including the calendar where your company places new bookings. A scheduling process should account for both when both are used.

Specify the customer-facing time zone, appointment length, last permitted start time, and any needed travel time. A 6 PM last start is different from a requirement to finish by 6 PM. That small distinction can change which slots the team offers.

Also decide who can reserve a time and when a tentative appointment becomes confirmed. Viewing availability and booking an appointment are separate actions.

Make the handoff easy to act on

The closer should be able to understand the appointment without hunting through a long message thread. Agree on a compact summary: customer name, contact information, service requested, location when relevant, appointment date and time, meeting type, and the qualification notes.

Keep the customer’s own wording when it matters. “Wants to compare options” should not become “ready to buy.” If a detail is uncertain, flag it for confirmation instead of guessing. Decide who contacts the customer to confirm and who handles a cancellation or a change of time.

Review quality in stages

Track appointments submitted, confirmed, attended, and resulting in a sale as separate stages. That makes it easier to identify whether a problem starts with qualification, scheduling, confirmation, or the sales conversation.

Give the setting team specific feedback: wrong service area, missing decision-maker, unclear customer expectations, or incorrect meeting time. A useful reason is more actionable than a thumbs-down. Agree on how often feedback is reviewed so corrections reach the people making the calls.

Questions to bring to Jesse

Does Telecentric only set solar appointments?

No. Telecentric serves solar and other industries. Describe your market and offer so Jesse can discuss whether the service fits.

How much does appointment setting cost?

Pricing is available by inquiry. Discuss your campaign, qualification requirements, scheduling process, and expected scope with Jesse.

Are appointments a guarantee of a sale?

No. An appointment creates a sales conversation. Customer fit, attendance, the offer, and the sales process still affect the outcome.

Can my team keep its existing calendar process?

Bring that process to the discussion. Agree on calendar access, availability checks, and the handoff before assuming a particular integration is included.

What should I prepare before contacting Telecentric?

Your industry, service area, ideal customer, qualification criteria, available appointment times, and the person responsible for confirming appointments.
